About the Role
To support the day-to-day administrative operations of Trinity Church, working closely with the Minister, church staff, and leadership team. This role is key in ensuring the smooth functioning of the church’s ministries and outreach. As a key member of the church staff, the postholder is expected to actively demonstrate a commitment to the Christian faith, and to embody the vision and values of Trinity Church in all aspects of their work.
We are seeking someone who:

• Is sympathetic with and supportive of the church’s Christian ethos and actively work to uphold and promote its values and mission.

Job Title: Church Office Administrator
Reports to: Line Manager (Church Secretary) & Minister
Location: Trinity Church Harrow
Salary: £12,106.92 per annum
Hours: Part Time, 20 Hours hours per week
Annual Leave: Holiday is only to be taken during school holidays; as these are unpaid days, the total salary includes appropriate holiday pay.
Job Description and Responsibilities
1. Office Administration
• Act as the first point of contact for all enquiries—face-to-face, by phone, email, letter, or website.
• Organise and maintain office systems, processes, and procedures (both manual and electronic), and support the Minister and ministry heads in reviewing and updating them regularly.
• Manage incoming and outgoing correspondence and communications.
• Process purchase orders and payment requests for: Stationery and office supplies Refreshments and communion wine Maintenance items and event supplies Costco (if applicable)
• Issue and process sales invoices for one-off bookings.
• Prepare weekly notices and Sunday service materials.
• Organise and coordinate church and community events in collaboration with ministry leaders.
• Maintain and update the church membership database in line with GDPR.
• Manage and restock church materials, including refreshments, offering envelopes, prayer and welcome cards, community group notices, and event supplies.
• Photocopying, printing, and preparing event sign-up sheets.
• Maintain electronic and paper filing systems.
• Ensure regular and secure IT data backups.
2. Communication
• Handle telephone enquiries and welcome in-person visitors, ensuring they are directed promptly to the appropriate ministry or individual.
• Distribute prayer requests and maintain the Book of Remembrance display.
• Update weekly notices on the website and regularly manage church social media platforms (Facebook, Instagram) to ensure consistent and engaging communication.
• Collaborate with ministry leaders to produce: A bi-monthly news sheet A quarterly magazine
3. Finance
• Record and bank income (cash/cheques) received at the church.
• Monitor and manage office and church supply inventory.
4. General Duties
• Perform other duties as required to support the smooth running of the church.
5. Training & Compliance
• Attend relevant training.
• Comply with all Trinity Church policies and procedures.
Person Specification
Essential:
• Excellent interpersonal skills with a warm and welcoming manner
• Ability to work independently and as part of a team
• Discretion and respect for confidentiality
• Strong IT and digital literacy (including Microsoft Office and cloud systems)
• Confident communicator with an excellent grasp of social media platforms
• Ability to manage multiple tasks in a dynamic environment.
Desirable:
• Experience in a church or charity setting
• Knowledge of GDPR and safe data handling practices
• Full UK driving licence (preferred for Costco runs)
